If a Sales Executive on your team can open Leads and see every lead in the account — not just the ones assigned to them — that's expected behaviour today, not a misconfiguration. Assigning a lead to someone controls who's responsible for working it and whose name shows on it; it does not currently hide other leads from anyone with lead-viewing permission at all. Worth knowing plainly if you were expecting per-rep data isolation out of the box, because right now, there isn't any.
What "Assigned to" actually does
The Assigned to filter on the Leads list is a manual dropdown — useful for a manager reviewing one rep's pipeline, or a rep wanting to see just their own queue by choosing their own name — but it's opt-in on every visit, not a default the system applies automatically based on who's logged in. Leave it on "All" (the default) and every lead in the account shows, regardless of who's assigned or who's viewing.
This is true for every role that has leads: read permission — Admin, Manager, and Sales Executive by default all see the same full list unless someone manually filters it down.
What to do if you need actual per-rep restriction
Two honest options today, neither of which is a single settings toggle:
- Operational discipline: ask reps to always filter to their own name, and rely on My Day, which does show a personalised view of tasks and uncontacted leads scoped to the logged-in user. This costs nothing to set up but relies on the habit sticking, and doesn't stop a rep from clearing the filter and browsing everyone else's leads if they choose to.
- Restrict the Leads screen entirely via a custom role: a role without leads: read at all can't open the Leads list — but that also blocks them from seeing their own assigned leads there, so this only works cleanly for a role that works leads exclusively through a different, already-filtered surface, which the product doesn't currently provide as a separate screen for the general lead list. In practice this trade-off is usually too blunt to be the actual fix. See creating a custom role if you want to explore what the permission matrix does and doesn't let you shape.
Being straight about this: true per-rep data isolation — where a Sales Executive genuinely cannot see leads assigned to someone else, full stop, with no workaround — is not a feature this CRM has today. If your team's structure genuinely requires that (a franchise model with competing territories, for example, or a compliance requirement around who can see whose customer data), that's a real gap worth being aware of before you build a process that assumes it's enforced.
What's already properly scoped, for context
Not everything is wide open by default. My Day genuinely does show a personal, scoped view — a rep's own overdue tasks, today's tasks, and uncontacted leads, not the whole company's. And screens outside Leads entirely — billing, integrations, role management — are already properly restricted by permission, not just filterable. It's specifically the main Leads list and Kanban board where "assigned to me" is a filter rather than an enforced boundary.
